The import template
To import and update marketing information, use the import template.
Only one file is needed, as it is divided into separate tabs depending on what you want to import. The import is dynamic, which means you can import a single tab or all of them. The template includes explanatory help text for every field, and the final tab contains a descriptive manual to help you fill it in.
In the file you can either reference a web link, which Finfo recommends, or a resource. In both cases the file extension must be included (for example .jpg or .pdf). Resources are connected to an article and a type via the import template, as in the following example taken from the Images tab:
Supplier's article number: Enter the article number you use in your business communication with your customers — the number the resource is to be linked to.
Image type: Which resource type is being submitted. Depending on what you are submitting, choose the appropriate tab in the import template.
Position: Positions are used to identify which resource should be regarded as primary, secondary and so on.
File name or web link: The name of the file including its extension (for example .jpg, .png, .pdf). It can also be a direct URL to the file on your own server. The file name must not contain Å, Ä or Ö, full stops (other than the one before the file extension), spaces or special characters. If you use a link, it must be a direct link pointing to the document, not a redirect link. Like the file name, the link must end with a file extension.
Managing resources
Replacing an existing resource
The same resource can be linked to several different articles, but only as the same resource type. This means a resource cannot be uploaded as a user manual on one occasion and later uploaded as an assembly instruction, even if it is uploaded to two separate articles. Finfo Media identifies whether it is the same file by calculating the file's checksum, so renaming the file will not get around the block. If a file has previously been uploaded with the wrong resource type, the incorrect file must be deleted or the resource type corrected.
Deleting a resource
At present, resources cannot be deleted using the import template — they can only be unlinked in the interface. Once a resource is no longer linked to any article, it is automatically deleted after 30 days.
Temporary article
A temporary article is created when resources or product texts are imported with a link to an article that does not yet exist. This allows information providers to start enriching images, documents or product texts without waiting for new articles to be approved. Once Finfo has received and approved the new article, the "Temporary article" marking is removed and the information is passed on to recipients.
If Finfo does not receive an approved new article within 30 days, the temporary articles are deleted.
